Sample property audit report
A useful buyer report explains what was checked, what was observed, what remains unresolved, and what to do next. This fictional example shows the planned report structure.
Findings at a glance
| WORKSTREAM | EXAMPLE FINDING & EVIDENCE | STATUS | NEXT STEP |
|---|---|---|---|
| Property records | Seller copy supplied Example source: seller document. Current official check: not performed. | Review needed | Obtain appropriate current records; request qualified legal review. |
| Site observations | Visible finishing condition recorded Example source: fictional photo log. Inspection date: not applicable. | Documented | Identify any issue needing a specialist assessment. |
| Boundary information | Plans not yet reconciled Example source: fictional plan reference. Physical survey: not performed. | Not verified | Compare records and consult a surveyor if needed. |
How to interpret the example statuses
Evidence is recorded. Read the finding and its scope.
A question needs another record or professional response.
The information is missing or the check was outside the scope.
Evidence status tells you what information is available. It does not, by itself, state how serious an issue is or whether the property is suitable for your purchase. Read the supporting source, check date, limitation, and professional explanation together.
Keep the observation, explanation, and assessment separate.
A ceiling patch is visible.
Record the location, visit date, and photo reference.
“It was repaired last year.”
Record who said it and request the repair history.
Is further investigation needed?
A qualified specialist assesses the cause and implications.
Fictional example. A visible observation is not a technical diagnosis.
How an open item should be recorded
Question: Do the advertised parcel area and available plan describe the same property?
Available evidence: Fictional listing reference EX-01 and fictional plan reference EX-02. No official record check has been performed.
Responsible review: Appropriate legal and surveying professionals, depending on the discrepancy.
Next action: Obtain the agreed current records, compare the references, and determine whether physical survey work is required.
Status: Unresolved in this demonstration. The missing answer is not described as a cleared item.
What the report should make clear
- The agreed scope, exclusions, and property identification.
- Each evidence source, who collected it, and its check date.
- The distinction between observations, professional conclusions, and unknowns.
- The issue priority and practical next action, with the responsible specialist.
- The required reviewer approvals and the version/date of the released report.
Limitations belong in the report
A document review does not replace a survey. Visible condition observations do not replace specialist testing. A dated report is not title insurance, a guarantee of clear title, or an investment forecast. Unresolved items remain visible rather than being presented as cleared.
